Scoutmasters Share The Load
TroopWebHost makes planning campouts and other troop activities easy!
Your assistant scoutmasters and senior patrol leaders can be assigned specific roles to keep the troop calendar up to date.
Menus, activities, and rank advancement opportunities are all part of the plan for any event.
After the event is over they can easily record what happened:
- Write up the highlights
- Upload photos and videos
- Log the achievement of rank or merit badge requirements
- Record your expenses

Event Locations
Over time you will find that your troop visits many of the same locations year after year.
The locations page allows you to enter detailed information about each location, which you can reference every time you plan an event there.
You can upload a photo of the site.
You can save driving directions and distance from your normal gathering point.
And you can automatically calculate map coordinates and display a Google map of the location!

Planning An Event
You can add an upcoming event to your calendar with as little or as much information as you want to supply.
Move your mouse over the image on the left to see what you can enter.
You must have a location, date and time. But you can also provide:
- Departure location and time
- Summary of planned activities
- Meal schedule and menus
- Activity schedule
- Rank and merit badge requirements that can be earned at this event
- Whether a tour permit has been filed yet
The Tour Permit Worksheet provides all the information on drivers, insurance, and leadership training that you'll need to file your tour permit.

Let The Troop Know About Upcoming Events
All members of the troop can then view the details of an upcoming campout by clicking on that event in the calendar.
This shows them everything you've planned, plus a list of everyone who will be there.
And clicking on the location link will display a Google map of the location along with the address, directions, and mileage.
Scouts and adults can be reminded of upcoming events - and whether they've signed up yet - with our Automated Newsletter.
This e-mail blast is personalized to each member. It will show any troop equipment checked out to each member's family, and can also
show account balances and what requirements need to be earned to achieve the next rank.

Upload Photos and Videos
When you get back from your adventure, the troop scribe or historian can upload photos from the event, and write a caption for each image.
They can also write a summary of the event.
This will all appear on the Photo Gallery available to the general public. However, at your request we can restrict this to require a user to login before viewing the photos.
You can also upload videos of an event to YouTube and display them on your site in the Video Gallery. Visitors can view the video without leaving your site,
just by clicking on the video frame.

Manage Your Troop's Library and Camping Equipment
Use TroopWebHost to maintain an inventory of your troop's library materials and camping equipment.
Items can be checked out to individual members of the troop, and then checked back in when they are returned (see screen at left).
From the My Stuff menu, any troop member can view a list of all the library materials and camping equipment he currently has checked out.
Troop leaders can easily find out who has each tent and merit badge book just by viewing the inventory list.
